Everything Audio – Equipment Hire Terms & Conditions

Welcome to Everything Audio. These Terms & Conditions apply to all equipment hired from Everything Audio. By placing an order through our website, over the telephone, by email, or in person, you confirm that you have read, understood and agreed to these Terms & Conditions.
1. Definitions
"Company" means Everything Audio.
"Hirer" means the individual or organisation hiring the equipment.
"Equipment" means all products supplied by Everything Audio including, but not limited to:
- Speakers
- Subwoofers
- Amplifiers
- Mixing desks
- DJ equipment
- Microphones
- Lighting
- Trussing
- Staging
- Projection equipment
- Screens
- TVs
- Cables
- Accessories
- Cases and packaging
2. Booking
All bookings are subject to equipment availability.
A booking is only confirmed once payment has been received or an account has been approved by Everything Audio.
Everything Audio reserves the right to refuse any booking without providing a reason.
3. Minimum Age
The Hirer must be at least 18 years of age.
Everything Audio may request photographic identification before releasing equipment.
Acceptable identification may include:
- Driving Licence
- Passport
- Government issued Photo ID
Proof of address may also be requested.
4. Hire Period
The hire period begins from the agreed collection or delivery time.
The hire period ends only when every hired item has been returned to Everything Audio and inspected.
Late returns may incur additional hire charges.
5. Collection
The Hirer is responsible for:
- Checking all equipment before leaving.
- Ensuring suitable transport.
- Loading equipment safely.
- Returning all flight cases, bags and packaging.
Once equipment has left our premises, responsibility passes to the Hirer.
6. Delivery
Where delivery has been booked:
Delivery times are estimates only.
The Hirer must ensure somebody is available to receive the equipment.
If nobody is available, an additional delivery charge may apply.
7. Condition of Equipment
Every item is tested before leaving Everything Audio.
By accepting the equipment, the Hirer confirms they are satisfied that it is:
- Working correctly
- Complete
- Suitable for the intended purpose
Any issues should be reported immediately.
8. Responsibility
The Hirer is fully responsible for the equipment from collection or delivery until it has been returned and checked by Everything Audio.
This includes responsibility for:
- Loss
- Theft
- Fire
- Flood
- Accidental damage
- Negligence
- Vandalism
- Missing accessories
9. Care of Equipment
The Hirer agrees to:
- Use equipment responsibly.
- Keep equipment clean.
- Keep equipment secure.
- Prevent theft.
- Prevent water damage.
- Prevent overheating.
- Prevent damage during transport.
Equipment must never be:
- Left unattended in public.
- Stored outside.
- Exposed to rain.
- Used in standing water.
- Modified.
- Opened or repaired.
10. Outdoor Events
Equipment may only be used outdoors where suitable protection is provided.
The Hirer must immediately disconnect equipment if weather conditions become unsafe.
Water damaged equipment is chargeable regardless of the cause.
11. Electrical Safety
The Hirer agrees to use suitable power supplies.
Extension leads should be fully unwound.
Equipment must never be connected to damaged electrical installations.
Generators must provide a stable electrical supply.
Damage caused by poor electrical supplies is the responsibility of the Hirer.
12. Operation
Equipment should only be operated by competent persons.
If instructions have been provided, they must be followed.
Technical support is available during normal business hours where reasonably possible.
13. Faults
Should equipment develop a fault:
Stop using it immediately.
Contact Everything Audio.
Do not attempt repairs.
Do not dismantle equipment.
Where practical we will try to offer telephone support or replacement equipment.
Replacement equipment cannot be guaranteed.
14. Loss or Theft
Lost or stolen equipment must be reported immediately.
The Hirer remains responsible for the replacement cost.
Police crime reference numbers may be requested.
15. Damage
The Hirer agrees to pay for repairs where damage occurs during the hire period.
Where equipment cannot be economically repaired, the Hirer agrees to pay the replacement value.
Replacement values are determined by current market cost.
16. Missing Items
Charges may apply for missing:
- Power leads
- Signal cables
- Flight cases
- Remote controls
- Adaptors
- Clamps
- Safety bonds
- Stands
- Accessories
17. Late Returns
Equipment returned after the agreed time may incur additional daily hire charges.
Persistent failure to return equipment may result in recovery action.
18. Cleaning
Equipment should be returned in the same condition in which it was supplied.
Excessively dirty equipment may incur cleaning charges.
Examples include:
- Mud
- Sticky drink spillages
- Glitter
- Confetti
- Smoke residue
- Excessive dust
19. Cancellation
Unless otherwise agreed:
More than 7 days before hire:
Full refund.
Between 2 and 7 days:
50% refund.
Less than 48 hours:
No refund.
Special order items may be non-refundable.
20. Liability
Everything Audio will not be responsible for:
- Loss of income
- Loss of profit
- Event cancellation
- Business interruption
- Indirect losses
- Consequential losses
Whilst we thoroughly test our equipment, no guarantee can be made against unexpected equipment failure.
21. Insurance
For higher value hires, Everything Audio may require evidence of suitable insurance or request a refundable security deposit before releasing equipment.
22. Ownership
All equipment remains the property of Everything Audio at all times.
Nothing in this agreement transfers ownership to the Hirer.
23. Unauthorised Repairs
The Hirer must not:
- Open equipment.
- Replace components.
- Carry out repairs.
- Remove serial numbers.
- Remove labels.
Any repair costs arising from unauthorised work will be chargeable.
24. Sub-Hire
Equipment must not be hired to another person or organisation without the written permission of Everything Audio.
25. Photography
Everything Audio may photograph hired equipment before dispatch and upon return for condition records.
26. Privacy
Personal information is processed in accordance with our Privacy Policy and is used solely for administering bookings, providing services and complying with legal obligations.
27. Refusal of Hire
Everything Audio reserves the right to refuse or cancel any hire where we reasonably believe:
- Equipment may be misused.
- The Hirer cannot provide suitable identification.
- Payment cannot be verified.
- There are concerns regarding safety or security.
28. Agreement
By ticking the box during checkout and placing your order, you confirm that:
- You are over 18 years of age.
- You have read these Terms & Conditions in full.
- You understand your responsibilities whilst the equipment is in your possession.
- You accept responsibility for any loss, theft or damage occurring during the hire period.
- You agree to return all equipment on time and in the same condition in which it was supplied, allowing for fair wear and tear.
